Frequently Asked Questions

  • How much are birthday parties? What does that include?

The base cost for Birthday parties here at HAC cost $500 for members and $600 for non-members. They include a birthday host(ess), a two-hour pool party, a private party room with table and chairs, three large cheese pizzas, pitchers of water, plates, napkins, cups, and setup and cleanup. The party parent is responsible for providing any invitations, store-bought cake or cupcakes.

  • How many guests can attend the party?

Birthday party packages include up to 20 child guests, but additional children can be added for $20 each (limit 25 child guests). 2 adults are permitted per child.

  • Can I invite children under 5 years old?

The birthday child must be at least 5 years old (or must be celebrating a 5th birthday) to host a birthday party at HAC. Younger guests such as siblings are welcome to attend; all children under 18 years old count toward the maximum party size.

  • When can I book a party, and how long are they?

Party bookings are available on Saturdays and Sundays from noon - 2:00pm or 2:30 - 4:30pm. The party parents may arrive 15 minutes before the scheduled birthday so that they may meet the party host(ess) and greet their guests. Parties must be requested with at least 3 weeks’ notice.

  • How do I book a party?

Step 1: Visit the birthday party page on our website at hachealthclub.com/birthday-parties and fill out our “request a party” form. After requesting, you will be contacted by our Birthday Parties Coordinator Brittany Timko for more information.

Step 2: Once your party is requested, you will have 72 hours to both sign the provided contract and send the non-refundable deposit. Once these materials are sent within the due date, your party is now confirmed.

  • How do the RSVPs and invitations work?

On the Monday prior to the confirmed party, you will be contacted for a guest count for both children and adults. Parents are responsible for sending out any RSVP’s and invitations in a timely manner. Please make sure that you allow enough time to make those last minute calls to confirm any guests that do not respond by the date that you indicated. A final headcount for all guests is due 5 days prior to the party.

  • What should the party family and/or guests bring?

The birthday party parents should bring the birthday cake. The birthday child and all guests should come prepared with a bathing suit and towel as well as socks and shoes. In the event of a thunderstorm, the party and guests will be escorted into either the gymnasium or the acro area as available for indoor play. Children without proper attire may not be permitted to participate. Although Hockessin Athletic Club provides skilled and highly capable lifeguards for each party, parents of pool party guests should come prepared to enter the water in case your child is in need. We understand the parental instinct to enter the water in the event your child needs you, but Hockessin Athletic Club will not be responsible for any items damaged upon your voluntary entry.

  • Does HAC allow non-members to throw a birthday party?

Yes! Please see pricing for member and non-member party rates. As guests of the club, non-members are welcome during the time of the party they are attending and are expected to respect the rules of the club as any member would.

  • Can I or my guests bring extra food or cake?

Parents are asked to bring a store-bought birthday cake. HAC provides (3) large cheese pizzas per birthday party, and families have the option to purchase additional food and drinks from our birthday party menu (see back cover for details). Parents will be contacted one week prior to their party date to confirm any additional food or beverage orders. Food orders or order changes MUST be placed at least 5 business days before the party date. Aside from these items, outside food or drink is not permitted in the club. Exceptions may be made to accommodate children with allergies; please contact our Family Activities Director for details.

  • Why can’t the birthday child go down the waterslide?

Patrons must be at least 42” tall to use the waterslide. While we want your child to have the best experience at HAC, we need to remain safe. The height requirement of 42” for the pool slide is set for the safety of children and is required by our insurance carrier.

  • What if the pool has to close?

In the event of a pool closure, the party and guests will be escorted into either the gymnasium or the acro area where children will be able to play indoors. Please remember that all guests and participants will need socks and shoes in case this happens. There are several situations that may necessitate a pool closure. In the event of bodily fluid contamination, the pool must be cleared until sanitation procedures are complete. Furthermore, it is Delaware law that all pools (including indoors pools) are closed when there is lightning or thunder outside.

  • Can gratuity be paid on a credit card?

Gratuity for the host(ess) can be included in the total amount due, to be paid by the end of the event.
